Reviewing and approving uploaded photos

Your customer database contains all of the fields of data that can be stored against a person's record. Several of these (such as Email Address, and Date of Birth) come as standard, and you can add additional fields if you require them. For photo uploads, it's possible to set up validation - what this means is that you're able to check each photo that's uploaded and mark it as accepted or rejected. Accepted photos have an expiry date set against them, and your customers will be asked to upload a new photo once their existing one expires. This can be useful for licence photos which expire at the same time the licence expires, and other photos such as membership cards which also expire at the end of the calendar year. 


Setting up validation for a photo field

Settings > Account > Database is where you'll find the list of fields you have in your cutomer database.


Select the photo field for which you want to add the validation and scroll to the bottom - under the "Review Settings" header is where you'll find the option to enable validation.

Once you've set this value, every photo that is uploaded (including existing photos already uploaded) will need to be review and approved. 


A customer's profile will show the photos that they have uploaded, along with the status of the photo.


  • Unchecked - this photo has not been reviewed
  • Approved - this photo has been checked and approved
  • Rejected - this photo has been checked and rejected
  • Expired - this photo has been approved but has now expired


Approving a photo

You can approve photos anywhere you can see them within the system. Click on the photo to see a larger version, as well as the history of the photos that have been uploaded and their status.


Once you have checked the larger version of the photo, change the dropdown to 'Approved.' A date field will appear which defaults to the end of the current calendar year. If needed, you can change the date that a photo will expire.


Click 'Update' to save your approval details. 





Rejecting a photo


If you have checked a photo and need to reject it, set the dropdown to 'Rejected.' A comments field will appear where you can type feedback for the user about their photo and the reason it has been rejected. Click 'Update' to save your changes. 




Reviewing uploaded photos in bulk


Under 'Manage' there's a page called 'Item Reviews.' This page shows all photos uploaded to the system which require reviewing. Older photos will be shown first. Large versions of the photos are shown as standard, and the approve/reject controls are on the right hand side. Once you've updated a photo, it will disappear from the list. 




Reviewing licence photos on the reception screen


The Reception screen for each event shows the uploaded licence photo for each competitor. Warnings are shown for photos which have not been approved:


  • Expired - this photo has been approved in the past but is now out of date
  • Rejected - this photo has been rejected
  • Unchecked - this photo has not been approved or rejected
  • Missing File - no photo has been uploaded


Click on the photo to see a larger version and update the approval status.
