The Reception Screen

The Reception screen will show the events and registrations you have for the displayed day. Clicking the date at the top will bring up the calendar and allow you to change the date. There are also 6 buttons in the top right:


  1. Calendar View - this shows the list of sessions for the day
  2. Registration view - this shows the list of registrations for the day 
  3. Kiosks shown - use this to toggle on/off registrations from particular kiosks
  4. Resource Filter - use this to only show sessions from selected resource(s)
  5. Print button - use this to print a list of registrations per session
  6. Refresh - use this to refresh the page and load any more registrations


Calendar view

When in calendar view each session will shown individually. This is because not all participants may be in every session. The sessions are divided by start time and show the Resource, whether it is an exclusive or shared activity, the activity format and then a tally of the number of customers that are participating, registered and checked in. If there are any outstanding balances on the activity this will be shown in red on the right.


Click on an event to expand it and this will show you all the current registrations for the activity separated by their individual booking (if a shared activity). 


You can manually add participants to a booking by clicking “+Register Person for 000000”. 

From here you’ll be able to see who is in the Registration queue, either unassigned from your Venue’s Kiosks (if installed) or if the customer has self registered on their own device via the personal link assigned to a particular booking. You can also search for a customer in your database using the search bar.  Click on a customer in the queue to add them to the event or press the select button if searching to add them to the event.

If the customer has not registered, you will not be able to add them to the event until they do. A red Requires Registration flag will appear at the end of their name. If the flag is orange, the customer has previously registered but has not accepted the most recent version of your waiver. The Email link button can be used to send them a registration link. They can then complete the registration themselves on their own device.


Registrations View

In Registrations view, you will see a list of customers who have registered today on the left. This will show whether they registered at a kiosk in the venue, or used the generic registration link on your booking website. Registrations that are linked to a booking will not be shown in this list. 


Clicking on a customer in the queue will add them to the list of customers to register on the right. From here you then have two options:

  • Add to an existing booking - these customers are part of a group that has already made a booking in the diary
  • Add to new booking - these customers have not made a booking i.e. they have just walked into the venue

Clicking the Red X next to their name, will remove the customer from the list (but not the queue). 


When adding to an existing booking, the system will ask which booking to add them to:


If creating a new booking, it will load the availability checker so you can create a new session or add them to an existing one:


Sessions and their Registered Participants

Once you’ve register a driver to a booking they will appear in the list, ordered by their booking. For karting customers this means they are ready to be imported into the Alpha Timing system.

 

Clicking on the Bill number will take you to the Booking's Event screen, just as if you were using the diary. This can be useful if you need to print off their registration for this event. Clicking a participants name will load their Customer profile which will list their previous bookings and activities, and if a Karting participant, their previous results.


On the right hand side next to each customer will be some flags and buttons after the date/time they registered.

  • The first flag (Web) shows the customer registered themselves online. 
  • The green square is a checkbox to check customers in when they arrive. Double click to add the green tick. 
  • The camcorder flag will appear if the customer has watched the briefing video (if applicable).
  • The orange incognito icon (hat & glasses) means the participants has chosen to hide their name from the results.
  • There are also Pay buttons for each individual, so they can pay for just their part of the bill or at the top of that booking a Pay All button to pay for everyone in that booking (but not necessarily that session).

Clicking the Pencil  button next to their name will allow you edit a registered person's details.

You won't be able to edit a customer's name on this page. If you need to edit a customer’s name this can only be done once it has been imported in the timing system or via the Customers page. However you can add an optional “Nickname” to replace the given name. 


You can correct their Date of Birth or and also change the customer category too if that is incorrect, and even set a different category for different sessions. You can also select or deselect sessions that the participants is not taking part in by ticking or unticking the corresponding box next to the session's start time. 


For Karting Activities this information will go to the pitlane and timing system so needs to match the category of customer/kart they will be using. 


If a customer does not want their name to be shown on the public results website or leaders boards (incognito) you can untick the box to hide their name. If the session has already run and the results issued, then this will need to be done in the Timing application and the results re-issued.


Once any changes have been made press Update or Cancel to exit without saving.


To remove them from this activity and all its sessions press the Unregister button instead. 


If someone arrives after the event has been imported, once they have registered at the venue and added to the booking in the Reception Screen they will automatically be added to the event in the Timing.
