Configuring your Venue Settings for the first time

Alpha Flow allows you to run your go-karting or activity centre the way you want it to. The first step is to create a Venue and an Admin user which will be done by Support Team. The new admin user can then start to configure the Venue Settings. 


Follow this list in order as the section before it leads into or is required to configure the next part. You can find Instructions for each section by clicking "Read more..." next to the title. 


  • Tax Rates (Read more...)
    First you will need to set the Tax rate to use for your products. Even if you do not charge tax, you will need to create a zero percent tax rate as every product must be assigned a tax rate. 
  • Resources (Read more...)
    Resources are places where activities can take place. There are two resource types: room and circuit. Anything that will be using Alpha Timing Application must be set to Circuit. For everything else they should be set as a Room.
  • Customer Categories (Read more...) 
    You need to create types of customers by age and height. This allows you to set which products and activities can apply to certain customers.
  • Product Categories (Read more...) 
    Product categories organise your products on the Point of Sale and in your Reports. 
  • Products (Read more...) 
    You need to create a product for everything you sell at your venue. Products can be activities or items and this is where you set the price of things either by quantity, multi quantities or a set price.
  • Fees (Read more...) 
    Items or services that you need to charge for that aren’t the  sale of a product or activity are called fees. i.e. Card/Booking fees or damage deposits.
  • Payment Methods (Read more...) 
    You need to create ways for your customers to pay. Any type of transaction from cash to online payment gateways is configured here.
  • Promotions & Discounts (Read more...) 
    This is where you can set any discounts you use both online and via staff.
  • Emails (Read more...) 
    This is where you create the Email Templates and schedules that are used by the system to send automated emails to your customers.
  • Terms & Driver Waivers (Read more...) 
    These are where you create the booking terms for anything sold to a customer and the registration terms i.e. driver waivers for participants. You can also upload a Briefing Video for your activities.
  • Website Settings (Read more...) and Kiosk Setup (Read more...) 
    When your customers use the Alpha Flow link they will leave your website and are directed to the Alpha Flow booking portal.
  • Activity Formats (Read more...) 
    Activity formats are how a product and the activity are presented and delivered at your venue. This can be the number of clients the activity can accommodate, the prices, to its appearance on your website. There are also controls you can use to maximise the revenue from each activity, by limiting sales of small bookings in peak times. These can be complicated so get in touch if you need any help.


You will receive errors or be unable to save certain settings if you have not previously configured another part of the system. A breakdown of the system's settings hierarchy is shown below with arrows indicating which settings must be configured first.
