Merging Competitors in the Timing

People are stored in the Alpha System in various locations including the Booking System (Both Club and Corporate) and also in Events in the Timing. You can find the competitor list in the timing app by opening the event in the timing and clicking on Competitors.

Each event lists its competitors, sorted by class via the dropdown at the top (for both corporate and club events).

If a person is duplicated in the booking system and the duplicate profile is imported into the Timing app, this will also create a duplicate of that person in the Timing's event. This may mean you get two instances of the same person on a championship table for example. To fix the table you will need to merge duplicates in the Timing app by opening their last event and merging them together, so that the source for the championship table comes from one competitor and not two (instructions below).

When merging one or more of these profiles it is important to make sure that duplicates are merged in all systems to prevent them from being created again in the Timing app. You can identify which profile was used to create the competitor in the timing by its External ID. This ID will be shown at the end of the users URL in the respective booking system:

Merging Competitors in the Timing Application

Once you have one profile on the booking system you can then merge the competitor in the timing. To do this, go to the most recent event the competitor entered in the Timing Application. Open the event in the timing and click on Competitors. Click on the competitor in question to load their details on the right of the screen. Towards the bottom of the competitors details will be a "Merge Competitor" link.

When you click Merge Competitor you will see a new screen pop out from the left. The profile in the top dropdown will be removed and can be changed if the wrong competitor has been selected. The external/booking ID will shown (plus a licence number if available) to help you decided which profile is the correct one. You will also see a list of events the two profiles have been entered in and if available their points in a championship table to show where the information has come from.

Merging a Competitor cannot be undone so be fully sure that the profile you are keeping is definitely a duplicate.
